By accessing or using VedAI's services, you agree to be bound by these Terms of Service. If you do not agree, do not use our services.

2. Description of Service

VedAI provides document conversion and accessibility services. Our platform includes:

2.1 Core Features

• Document Conversion Conversion: Text extraction with mathematical equation recognition and optional AI-generated image descriptions
• Document Restructuring: Transform unstructured Word, HTML, EPUB, ODT, and RTF files into properly organized accessible formats
• Image Chat: Interactive image descriptions with unlimited conversations and up to 5 follow-up questions per conversation (1 credit per image)
• Image Maps: Grid-based navigation for complex diagrams, charts, and technical illustrations (2 credits per map)
• Multi-format export: 11 output formats including HTML, Markdown, DOCX, EPUB, LaTeX, ODT, and more
• Multi-language support: 150+ languages for image descriptions

2.2 Organization Accounts

Schools, universities, and institutions can create organization accounts with:

• Shared credit pools for member access
• Higher file upload limits (10 files vs 3 for individuals)
• Credit allocation and transfer capabilities
• Usage tracking and member management
• Custom contract terms and pricing
• Domain-based member invitations

3. User Accounts

3.1 Registration

You must create an account to use our service. You agree to:

• Provide accurate and complete information
• Maintain the security of your account credentials
• Notify us immediately of any unauthorized access
• Be responsible for all activities under your account

3.2 Account Termination

We reserve the right to suspend or terminate accounts that violate these terms or engage in fraudulent activity.

4. Credit System and Payments

4.1 Credits

• Our service operates on a credit-based system
• Credits are deducted based on document complexity and processing options
• Document Conversion: 1 credit per page
• Document Restructuring: 1 credit per page
• Image descriptions: Additional 1 credit per image
• Image Chat: 1 credit per image upload
• Image Maps: 2 credits per map
• Credits are non-refundable except as stated in our Refund Policy
• Credits do not expire

4.2 Payments

• All payments are processed securely through third-party payment providers
• Prices are listed in USD and may be subject to applicable taxes
• You authorize us to charge your payment method for purchases

5. Acceptable Use

You agree NOT to:

• Upload illegal, harmful, or infringing content
• Violate intellectual property rights
• Attempt to bypass security measures
• Use automated systems to scrape or abuse the service
• Resell or redistribute our service without permission
• Upload malware, viruses, or malicious code
• Harass, threaten, or harm others

6. Content Ownership and License

6.1 Your Content

You retain all rights to the documents you upload. By using our service, you grant us a limited license to:

• Process your documents to provide the conversion service
• Store your files temporarily as needed for service delivery
• Use anonymized data to improve our service

6.2 Our Content

All VedAI platform content, design, and software are protected by intellectual property laws and remain our exclusive property.

7. Organization Accounts

7.1 Account Approval

Organization accounts require admin approval. Application requires:

• Complete legal and contact information
• Tax ID or business registration number
• Verification of domain ownership (if using domain-based invitations)
• Estimated usage and feature requirements

7.2 Contract Terms

Organizations operate under custom contracts defining:

• Credit package size and pricing
• Contract duration and renewal terms
• Enabled features and service limits
• Payment schedule and billing terms

7.3 Credit Management

Organization credits are managed separately from individual accounts:

• Credit Pool: Organizations maintain separate credit accounts
• Allocation: Owners can send credits to members for individual use
• Transfers: Owners may transfer organization credits to their personal accounts (logged for transparency)
• Member Purchases: Members can purchase individual credits at standard pricing for personal use
• Usage Tracking: All credit usage is tracked and viewable by organization owners

7.4 Owner Responsibilities

Organization owners agree to:

• Manage member access appropriately
• Ensure members comply with these terms
• Maintain accurate organization information
• Monitor credit usage and request additional credits as needed
• Pay invoices according to contract terms

7.5 Member Obligations

Organization members agree to:

• Use organization credits only for legitimate purposes
• Comply with organization policies
• Not share accounts or credentials
• Request credits through proper channels

7.6 Domain Verification

Organizations using domain-based invitations must:

• Prove ownership of the specified domain
• Accept responsibility for users joining via that domain
• Notify us if domain ownership changes

7.7 Termination

Organization accounts may be suspended or terminated if:

• Contract terms are violated
• Payment obligations are not met
• Members engage in prohibited activities
• Domain verification fails or is revoked

Upon termination, unused organization credits are forfeited. Organization data is retained as per our Privacy Policy (minimum 7 years for legal compliance).

8. Service Availability

We strive to maintain high availability but do not guarantee uninterrupted service. We may perform maintenance, updates, or modifications that temporarily affect service availability.

9. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" WITHOUT WARRANTIES OF ANY KIND. We do not guarantee:

• 100% accuracy in conversions
• Error-free operation
• Suitability for specific purposes
• Complete compatibility with all document types

10. Limitation of Liability

To the maximum extent permitted by law, VedAI shall not be liable for:

• Indirect, incidental, or consequential damages
• Loss of data, profits, or business opportunities
• Damages exceeding the amount paid by you in the last 12 months

11. Indemnification

You agree to indemnify and hold VedAI harmless from any claims, damages, or expenses arising from your use of the service or violation of these terms.

12. Privacy

Your use of our service is also governed by our Privacy Policy.

13. Changes to Terms

We may modify these Terms of Service at any time. Significant changes will be communicated via email. Continued use of the service after changes constitutes acceptance.

14. Governing Law

These terms are governed by the laws of India. Any disputes shall be resolved in the courts of India.
